Corporate Board Meetings Present Opportunities for Transportation Companies

BOSTON — Providing luxury transportation services for executive board meetings is going against current trends in the usage of managed travel programs for corporate travel. Meetings planners continue to rely on VIP transportation of high-profile executives for board meetings despite cost-cutting and increased scrutiny, making this a lucrative niche for chauffeured transportation companies.

According to Catherine Chaulet, vice president of events at BostonCoach, board meetings and VIP services for high-profile groups are some of the services her organization provides on a regular basis. The scope of its services includes security, flexibility, and confidentiality, as well as event consulting. BostonCoach recommends working with coordinators to seek out arriving VIPs at airport pickups, rather than using a general placard. The company has also kept vehicles on standby in cases where unscheduled VIP transportation is necessary. Chaulet said that sometimes coordination of ground transportation services with private aviation is a necessity as well. The inexperience of meeting planners in large event management can pose opportunities for ground transportation companies to intervene to ensure success.

“One of the constants with these VIP groups is that there are multiple changes, so there is ongoing communication between the meeting planner or the executive assistant in charge of that group, and us in terms of the arrival times and the different locations they’re going,” says Chaulet.
